Persona portal · Alpha testing · Australia first

The advice file, assembled as the work happens.

A portal for financial advisers and paraplanners who give personal advice to retail clients, starting with Australia. It is designed to keep the client file complete as the work is done, rather than reconstructed for an audit, and to keep client identities and holdings inside the firm.

Two seats, one surface

The adviser

Owns the client relationship and the advice, and signs it off.

The paraplanner

Gathers client data, researches products, models scenarios and drafts the advice document.

Advisers work under a licensee that is responsible for them and supervises their work. The portal is designed to support that supervision, not to replace it.

The job

  • Understand the client: goals, circumstances, risk tolerance and what they want advice on.
  • Work out the strategy and products that are in the client’s best interests, and be able to show it.
  • Document the advice and implement it.
  • Deliver the ongoing service the client pays for, renew fee arrangements on time, and show the service was delivered.
  • Keep the file that the licensee and the regulator will ask for, for years afterwards.

What the portal is designed to do

Fact find to file

Turn meetings, with the client’s consent to record, and documents into file notes and a structured fact find, with every field linked to its source.

An evidence trail for each recommendation

Link each recommendation to the client’s goals, the scope of advice, the research and the alternatives considered.

Product replacement analysis

Compare current and recommended products on costs, benefits, insurance and lost entitlements, with sources.

Advice documents from the file

Draft the advice document with each statement traceable to the file, so a paraplanner or compliance reviewer checks the exceptions instead of re-reading everything.

Ongoing service and fee calendar

Reference dates, consent windows, services delivered, and alerts before an arrangement would lapse.

A view for the licensee

Audit sampling and exception flags, such as a missing consent, an unsupported switch or an incomplete file.

What it won’t do

  • Give advice, or make an adviser compliant. The adviser and the licensee stay responsible.
  • Let client data leave the firm’s boundary unless policy allows it.
  • Produce a recommendation without its evidence trail.

It works alongside the planning software, investment platforms and meeting-note tools an adviser already uses. Notes written by AI are meant to be produced and kept under the same rules as any other file note.
